    Welcome to Casa Naranja!

    Going through the onboarding process in this app will take ca. 1 hour and you will have to install the Microsoft ToDo app, to setup your email program, to receive emails sent to the Casa Naranja service mail account (requests of roommates, etc,) and to add the Casa Naranja calendar to your calendar app.

    Please do the setup on the device (phone, laptop), that you will primarily use during your stay here.

    Setup task app

    Great, now that you told me a bit about your experience, let's start setting up your digital work environment.

    Most tasks you will work on here, are organized in the Microsoft ToDo app. To set it up on your phone or laptop, please follow the steps below:

    • Open the app and sign in with your Microsoft account. If you are using Windows, MS Office or any other Microsoft service, you will most likely already have one. Otherwise create a new one.

    • Klick on the task (on the name, NOT the check box) "2. Join all ToDo lists". Scroll down and click "Open", and a list with links will open. Click on each of this links, to join all the other ToDo lists.

    Get familiar with the ToDo app

    Now let's try it out! Among the lists that you just joined is one called "Onboarding training". Open it and follow the instructions below:

    • Klick on the task "Learn how to check sub tasks" (on the name, NOT the check box). The details of the task will now open and you will see a list of sub tasks. Check the first 3 sub tasks (not the main task).

    • Klick on the task "Learn how to read additional information attached to a task". Scroll down and click "Open" to see the additional information about this task.

    • Now open the task "Learn how to open files attached to a task and where to find the due date". Find the due date of the task and the image attached to it.

    • In the task "Learn how to assign a task to yourself" look for the "Assign to" button. Click it and assign the task to yourself. Before starting any task, always assign it to yourself, if it isn't already.

    • Next, click on the task "Learn how to set yourself a reminder for a task", find the according button and set yourself a reminder. The ToDo app will now remind you of that task at the time set by you.

    • When you have completed a task (including all its sub tasks), you can check it. To try it out, open the task "Learn how to check a completed task", check all 3 sub tasks and then check the main task

    Calendar for volunteers & roommates

    We use 2 calendars in Casa Naranja: One that can be accessed by all roommates that contains events and appointments relevant for everyone and one, that only you volunteers and Fabian have access to and that contains appointments or regular tasks, that are only relevant for us.

    Please join both of them, by adding the following links to the calendar app you use. The links are in the default format (iCal) that can be read by most common calendar apps includig Google Calendar, Outlook, Windows Calendar and iCalendar.

    Working hours and agreements

    Working hours & days off

    • 15 h / week.

    • 2 days off (usually the weekend, other days can be requested).

    • On the remaining 5 days volunteers can usually choose the time when to do their work.

    • Some tasks may need to be done at specific days/hours. Volunteers are expected to adapt to those. The host will try to adapt to the requirements of volunteers (e.g. when doing another job or home office), if possible.

    • The Volunteer is responsible for honestly and diligently work the hours they are supposed to.

    • The volunteer has to assign tasks to themself before working on them in the ToDo app or work on tasks assigned to them by the host.

    • At the end of each day, the volunteer has to submit the daily report via this app to the host, at the end of each week the weekly report.

    • If the volunteer organizes an activity that can be considered both work and leisure time for the volunteer, the volunteer is allowed to:

      • Deduct up to 2 h work time for an activity in the house, e.g. organizing a BBQ party, cooking, holding a class/workshop, etc.

      • Deduct up to 3 h for (co-)organizing a trip to a place outside the house

      • Deduct up to 3 h for (co-)organizing a trip to a place outside the house

    Example: You organize a daytrip to a place of interest, where you and some of the roommates travel to on the weekend. You can count the time for planning the trip, booking a bus or Uber, organizing the people, collecting everyone’s share of the costs etc. as working hours, however the trip itself is considered as leisure time.

    If you have an idea for an activity that would require significantly more time to be rather considered work than leisure time, exceptions from this rule can be made in agreement with the host.

    Tasks

    • Volunteers who have only choosen a primary task category, have to work around 3h per work day on tasks of this category.

    • Volunteers who have choosen a primary and a secondary task category, have to work around 1.5h per day on tasks of each of those 2 categories.

    • Independently of their selected categories, volunteers should always prioritize tasks form the "Urgent" task list, according to their abilities and skills.

    • If there are not enough tasks of a category to "fill" the expected working hours, as stated above, the volunteer can do tasks from other categories or realize own ideas, agreed upon with the host. The volunteer cannot skip working hours, if they run out of tasks.

    • In doubt of priorisation of tasks, if the volunteer struggles with a task or not know, which task or sub task to proceed with, they should ask the host, what to do.

    Accommodation

    • In times when all rooms are rented out to regular tenants*: Volunteer sleeps in 2er bunk bed in dorm room with up to 1 more volunteer.

    • In times when regular rooms* are available, volunteers can choose to use them instead. Regular rooms can be occupied by up to 3 volunteers.

    • Regular tenants always have priority. If a regular tenant wants to rent a certain room and this room is currently used by volunteers, the volunteers must switch rooms and/or move together accordingly. Regular rooms will be occupied by a maximum of 3 volunteers and the dorm room by up to 2 volunteers.

    * Regular tenants: Tenants who rent a room in the house for themselves. Regular rooms: The rooms that are usually used by those tenants. When used by several volunteers, some might have to sleep on a mattress on the floor, as each regular room is equipped with one bed only.

    Other agreements

    • The volunteer must comply with all agreements made with the host.

    • Beside the difference of getting accommodation for free in exchange for work, the volunteer is considered a regular tenant of the house. They can use all the facilities of the house and have to comply with the same rules as regular tenants. The house rules can be read on the walls inbetween living room and entrance area or be found in this app under "Tenancy" -> "Rules and agreements".
